POSITION OVERVIEW

Hyde Legal Group is seeking a sharp, proactive Legal Administrative Assistant who is ready to hit the ground running. This is not an lentry-level role — we need someone who can own the operations of a busy boutique law firm, communicate professionally with clients, and build efficient systems that keep the firm running smoothly. The ideal candidate is tech-savvy, self-directed, and comfortable using AI tools (including Claude) to create workflows, templates, and administrative resources. This position may be filled on a full-time or part-time basis and is in-person at our San Antonio office. All candidates must consent to and successfully clear a background check prior to hire.

RESPONSIBILITIES

• Serve as the primary point of contact for client communications — phone, email, and in-person — with professionalism and warmth

• Manage attorney calendars, appointments, consultations, and deadline reminders across all practice areas

• Oversee client intake processes including initial screening, questionnaire distribution, and onboarding coordination

• Coordinate document execution workflows via AdobeSign, including routing, tracking, and confirming completion

• Maintain and organize client files and matter records in PracticePanther

• Process payments and invoicing through LawPay and assist with billing follow-up

• Notarize documents as needed (notary commission required or will be obtained upon hire)

• Build and maintain administrative tools, templates, checklists, and workflow documents using Microsoft Office and AI tools

including Claude

• Identify operational inefficiencies and proactively propose and implement solutions

• Coordinate with vendors, courts, title companies, financial institutions, and other third parties as needed

• Manage office supplies, correspondence, and general day-to-day office operations

• Support attorneys with scheduling, travel coordination, and special projects as needed

• Maintain strict client confidentiality and uphold the firm's professional standards at all times

QUALIFICATIONS

Minimum 2 years of experience in a legal administrative, executive assistant, or office management role — law firm experience strongly preferred

• Proficiency in Microsoft Office Suite (Word, Outlook, Excel) and Adobe Acrobat

• Demonstrated ability to manage a high volume of tasks independently and without close supervision• Excellent written and verbal communication skills — client-facing polish is a must

• Strong organizational skills with keen attention to detail

• Comfortable using AI tools (Claude, ChatGPT, or similar) to draft content, build templates, and streamline workflows

• Tech-savvy with the ability to quickly learn new software platforms

• High degree of discretion, professionalism, and respect for client confidentiality

• Ability to pass a pre-employment background check

PREFERRED

• Notary Public commission in the State of Texas (firm will sponsor application for the right candidate)

• Experience with PracticePanther, AdobeSign, LawPay, or similar legal technology platforms

• Prior experience in estate planning, probate, business law, or personal injury

• Experience creating or managing administrative systems, SOPs, or office workflows

• Bilingual (English/Spanish) a plus

• Associate's degree or higher
